The Best Invoicing App for Musicians (and How the Others Compare)

Every invoicing app says it's built for freelancers. Very few of them have ever had to invoice the father of the bride at 11:40pm from a loading dock.

That's the gap. Search for the best invoicing app and you'll find long lists written for consultants, designers and plumbers. They're not wrong. They're just answering a different question.

Full disclosure before we go any further: SessionsNV is our app. So take the verdict at the end with whatever pinch of salt you like. The comparisons along the way are straight, including the bits where something else does the job better.

What a musician's invoice actually has to do

A musician's invoice isn't complicated. It just has a few jobs that general software doesn't expect.

It needs the gig details: the date, the venue, the set times, the agreed fee. It often needs to show a deposit you took months ago and the balance still owing. It needs the right tax on it, whether that's GST, VAT or sales tax. And it needs to go out fast, ideally before you've packed the car, because an invoice you mean to send on Monday has a habit of becoming an invoice you send in March.

Then, at tax time, every one of those invoices needs to be somewhere you can find it.

Keep those jobs in mind. They're the test every app below has to pass.

The general invoicing apps

These are the big names, and most of them are genuinely good at what they do.

Zoho Invoice is free, polished and available on iPhone and Android. It handles payment reminders and lets clients pay online by card. Zoho even has a landing page aimed at musicians. The catch is that it thinks in customers and line items, not gigs. Every booking gets typed in again from scratch, and there's no gig calendar sitting behind it.

Xero and QuickBooks are proper accounting software. If you've got an accountant who already lives in one of them, they're hard to argue with. For a musician sending eight invoices a month, though, they're a lot of machinery and a monthly bill to match. Plenty of musicians use them alongside a gig app rather than instead of one.

Square and PayPal invoicing are great when you want a client to tap a link and pay by card. Beyond that, they're payment tools with an invoice attached.

The pattern here is simple. These apps are excellent at the invoice and have no idea what a gig is. So you end up keeping your bookings in one place and your invoices in another, and doing the copying yourself.

The music-specific platforms

There's a smaller group of tools built for the music world, and they tend to aim at bands and agencies rather than individual players.

Back On Stage was built by bandleaders and covers bookings, contracts, a client portal, payments and calling lists for finding players. Musician accounts are free, and the Leader plan runs at around US$29 a month. It's mainly browser-based. If you run a wedding band as a business with a sales pipeline, it's worth a look.

Gigwell is aimed at booking agencies and talent managers, with pricing from about US$33 to $399 a month. Brilliant if you're managing a roster. Overkill if you're managing yourself.

BandHelper is built around setlists, charts and stage automation, and it's well loved for that. It's more about running the show than chasing the money.

In the UK, newer apps like Gigflow are focusing on agency commissions and HMRC-friendly mileage for freelance performers.

The pattern here flips. These tools understand music, but they're shaped and priced for teams, agencies and band businesses.

Where SessionsNV fits

SessionsNV was built by Nat Brice, a working session and touring musician in Adelaide, for the musician who is the business. The dep. The session player. The solo act. The band leader booking players for a Saturday.

It starts with the gig, not the invoice. You enter the booking once: date, venue, client, fee. The invoice pulls everything from that. No retyping, no copying from your calendar into a template.

Here's what you get at each level:

Free: unlimited gigs, clients, players and invoices. No caps, no trial clock ticking in the background.

Pro (A$2.99 a month or A$29.99 a year): branded PDF invoices, deposit tracking with the remaining balance worked out on the invoice, scheduled invoices that go out the day after the gig, master invoices that roll a whole residency into one, plus expenses, profit and loss reports, calendar sync and the player network for sending gig invites.

Studio (A$7.99 a month or A$79.99 a year): everything in Pro, plus a mileage tracker, overdue reminders, Xero and QuickBooks export, and Australian GST, BAS, ABN and super tools.

The App Store shows prices in your local currency, so it works the same whether you're gigging in Brisbane, Bristol or Boston.

A couple of other things worth knowing. On newer devices with Apple Intelligence, you can paste in a booking email and Ask AI builds the gig for you, on your device, for you to check before saving. It runs on iPhone, iPad and Mac. And your gig and invoice data lives on your own device.

Where SessionsNV isn't the right pick

Being straight about this matters more than winning the argument.

  • –You're on Android. It's iPhone, iPad and Mac only for now.
  • –You need clients paying by card from a link today. Zoho or Square are ahead on that.
  • –You run a booking agency. Gigwell is built for rosters.
  • –You run a wedding band with contracts, a client portal and a sales pipeline. Back On Stage covers more of that side.

So which is the best invoicing app for musicians?

If you're the one playing the gig and sending the invoice, the best app is the one that already knows about the gig. General apps make you do the copying. Band platforms make you pay for a team you don't have.

That's the space SessionsNV was built for. The free plan has no limits on invoices, so you can test that claim on your next booking without spending a cent.
